The format of your event is one of the first decisions you make, and it shapes almost every other one. Here is how the three options compare.

In-person

Best for: networking, hands-on workshops, trade shows, celebrations — anything where being in the room is the point.

  • Highest engagement and the strongest relationships.
  • Costs scale with attendance: venue, catering, printed badges.
  • Reach is limited by travel.

What you need: a venue, a check-in process, badges, and a plan for the door.

Online

Best for: talks, training, webinars, and audiences spread across countries and time zones.

  • Lowest cost per attendee and unlimited reach.
  • Engagement is harder; attention drops fast.
  • Time zones matter — publish times with the zone.

What you need: a streaming or meeting tool, a clear joining link sent after booking, and a way to confirm who actually attended if you issue certificates.

Hybrid

Best for: conferences that want the room and the reach — for example, speakers and delegates on site, with remote viewers joining.

  • Widest audience, but you are running two events at once.
  • Needs separate ticket types for in-person and remote attendance, often priced differently.
  • The remote experience needs its own host, or it feels like an afterthought.

How to decide

Ask four questions:

Choosing an in-person, online or hybrid event format when creating an event
The format is chosen when you create the event.
  1. What is the goal? Relationships favour in-person; reach favours online.
  2. Where is the audience? One city, or many countries?
  3. What is the budget per attendee?
  4. What do attendees need to leave with? A certificate, a contact list, a skill?

What changes for tickets and admin

  • Ticket types: for hybrid, create separate in-person and online tiers.
  • Check-in: in-person needs scanning at the door; online needs attendance tracking.
  • Certificates: issue them to people who actually attended, in whichever format.
